Otter.ai transcribes meetings, interviews and conversations in real time, then generates summaries, action items and a searchable transcript library. For authors its sweet spot is research capture — interview subjects, podcast recordings, brainstorming calls — not dictating manuscript prose, which it still has no feature for.

Six languages, not a hundred: English, Spanish, French, German, Japanese and Chinese (Simplified). Otter Chat translates finished transcripts into more, but transcription itself stops at those six.

Strengths#

• Live capture is the differentiator: File-based tools like MacWhisper separate speakers after a recording exists. Otter does it while the conversation is still happening, which is what makes it usable for interviews you need to follow along with.
• The desktop app dodges the bot problem: Botless system-audio recording sidesteps the lobby-approval friction that now hits every notetaker relying on a meeting bot — including Otter's own.

Limitations#

• Court ruled it a third-party eavesdropper: On 13 August 2026, a federal judge in the Northern District of California refused to dismiss wiretap, CIPA and BIPA claims in In re Otter.AI Privacy Litigation — partly because Otter retains recordings and uses them to train its speech models. Training on de-identified audio is on by default; turn it off in settings before recording anything about an unpublished manuscript.
• Meeting bots now get blocked: Teams (since June 2026) flags external bots as "Unverified" and makes the organiser admit them; Google Meet defaults to denying them. Use the desktop app instead of the Notetaker bot.
• No prose dictation: There is no push-to-talk, no system-wide dictation, no way to speak a chapter into a document. This is a transcription tool that happens to sit in the dictation category.
• No Scrivener or Word integration: Export DOCX, import manually. Every time.
• Middling user sentiment: 3.5/5 on Trustpilot, rated "Average", with unwanted bot joins and billing complaints recurring in the reviews.

Alternatives#

MacWhisper is the better buy for an author working from files rather than live calls — it runs offline, costs €65 once, and adds the system-wide dictation Otter lacks entirely. Dragon Professional Individual is the prose-dictation tool Otter is not, though its sale status is now uncertain. Choose Otter when the audio has more than one person in it and you need it typed as it happens.
