- Platforms Connected
- QuickBooks Online (Collect+), Xero (Collect+)
Strengths
- Best-in-class OCR: 99% claimed accuracy outperforms most competitors. Auto-categorization reduces manual cleanup after scanning.
- No annual commitment on Collect: The April 2025 $5 flat-rate plan is month-to-month — no risk of being locked into unused seats.
- Strong integrations on paid plan: QuickBooks and Xero sync eliminates double-entry for authors using those platforms.
- Trustpilot 4.8/5 (983 reviews), G2 4.5/5 (5,568 reviews): Consistently well-reviewed on ease of use and time savings.
Limitations
- Desktop interface complaints: The mobile app is highly rated; the desktop web app is frequently described as unintuitive and bloated for solo use.
- Team-focused features add clutter: Multi-level approval workflows and corporate card reconciliation are useless for solo authors but visible in the UI.
- Support for free users: Email/chat only with 8–12 hour response times. No phone support at any tier.
Expensify's SmartScan technology converts receipt photos to logged expenses in seconds using AI OCR — claiming 99% accuracy extracting merchant, date, amount, and currency. It's one of the most accurate receipt-capture tools available, making it practical for authors who accumulate paper receipts at book fairs, writing conferences, research trips, and office supply runs.
Plans at a Glance
- Free (personal account): Unlimited SmartScans, distance/mileage tracking, manual expense entry, and CSV/spreadsheet export — at no cost on a personal account in New Expensify. The old 25-scans-per-month cap (with $0.20-per-scan overage) was a Classic Expensify individual limit; the current free personal tier has no scan cap. Does not include expense categories, tags, approvals, or accounting-software integration — those require a paid workspace.
- Collect ($5/member/month): Adds what the free personal tier lacks — QuickBooks Online and Xero integration, expense categories and tags, expense approvals, Expensify Card with 1% cashback, next-day ACH reimbursement, and Expensify Travel. (Unlimited SmartScans and mileage tracking are now free anyway.) No annual commitment required. Launched April 2025 at flat-rate pricing — replacing a previous complex active-user billing structure.
- Control ($9–$36/member/month): Adds multi-level approval workflows, custom expense policies, per diem, advanced ERP integrations (NetSuite, Sage Intacct), and 2% Expensify Card cashback. Designed for teams with compliance requirements — unlikely to benefit solo authors.
Key Features for Authors
- SmartScan: Receipt submission by app photo, email ([email protected]), or text (47777). Supports 150+ currencies — useful for international book fairs and overseas research trips. May 2025 update added AI-generated receipt detection to flag fraudulent or fabricated receipts.
- GPS Mileage Tracking: Automatic distance logging using your phone's GPS. Calculates reimbursement at the 2026 IRS rate of $0.725/mile (up from $0.70 in 2025). Saves frequently traveled routes (library visits, post office runs, bookstore signings). Works offline. Now included free on personal accounts — no longer Collect-only.
- QuickBooks + Xero Sync: Automatic chart-of-accounts import, vendor matching, and receipt attachment to exported transactions. Requires Collect plan minimum — the free tier has no accounting sync.
- AI Auto-Categorization: Concierge AI learns from past expense category selections and applies them automatically. As of November 2025, it also auto-corrects expense details before submission to reduce approval delays. Because expense categories require a paid workspace, this AI categorization is a Collect/Control feature, not part of the free tier.
- Multiple Platforms: iOS, Android, and web. Mobile app is consistently rated more intuitive than the desktop interface.
Is the Free Tier Enough?
For most solo authors, yes. A personal account now gives unlimited SmartScans and GPS mileage tracking for free — so even a book conference that generates 30+ receipts in a weekend costs nothing to capture, and there are no per-scan overage fees to worry about. The reason to step up to the $5/month Collect plan is no longer the scan cap; it's the accounting sync (QuickBooks/Xero), expense categories and tags, and the Expensify Card cashback that make the data useful at tax time rather than just stored. If you only need digitized receipts and mileage logs you can export to a spreadsheet, the free tier is genuinely sufficient.
What Expensify Does Not Do
Expensify is an expense tracker, not a bookkeeping or tax tool:
- No royalty income tracking — it cannot pull data from KDP, IngramSpark, or Draft2Digital
- No tax calculation or deduction identification beyond expense categorization
- No Schedule C preparation or integration with TurboTax, FreeTaxUSA, or other tax software
- No author-specific expense category templates pre-loaded
Authors who need income tracking alongside expense tracking should consider Wave (free, income + expense + receipt), Hurdlr, or QuickBooks Self-Employed. Expensify pairs with a separate tax prep tool rather than replacing one.

Alternatives
Shoeboxed accepts physical receipts mailed in a prepaid envelope for scanning — useful if you dislike digitizing paper, though it starts at $18/month. Wave's receipt feature is free and integrates directly with Wave's accounting tools — the better choice if you already use Wave for bookkeeping. For mileage tracking as the primary need, MileIQ is more focused. Expensify wins on receipt OCR accuracy for high-volume digital receipt users.
